Your family's data, in plain language
This page is written for parents and carers, and for young people old enough to read it themselves. It explains what SenseExplorers keeps, who can see it, and how to have it removed.
Who we are
SenseExplorers is provided by Special Brains Paediatric Specialist Services Ltd (company number 12259650), registered in England and Wales. We are the data controller for your family's information. Contact: info@special-brains.com.
The short version
Everything in SenseExplorers belongs to your family account. It is not a social app: there is no messaging, no chat, no public profile and no way to share anything with another family.
We keep as little as possible. For each child that is a first name or nickname, an age band, and the mode they use (Junior or Teen).
What we store
The nickname, age band and mode for each child profile.
What a child explores: which activities and steps they finished, and how each one felt. Those feelings are kept as simple ratings, never as a diagnosis.
Short body check-ins (which body areas and signals were chosen, an optional note and, in Junior mode, a cool-to-hot number).
Their calm kit, their sensory passport lines, and any photos they take in the app of things and places.
Any sound files you choose to upload to your child's calm kit. These are kept privately for your family only, uploaded by you rather than recorded by the app, and stored in private storage so they can only be played inside your signed-in account. We never listen to them, analyse them, or use them for anything else.
The email address and password used to sign in to your account.
What we never ask for
For a child profile we do not ask for a surname, date of birth, home address, phone number or school name.
The camera and photo feature is for things and places only. The app reminds children every time: take photos of things and places, not people.
The app never records audio by itself and never uses the microphone. A sound only enters the app if a grown-up chooses a file from their own device to add to the calm kit.
Photos and sounds: what is allowed
Photos are for scenery, places, objects and textures only: a view out of a window, a quiet corner, a favourite blanket, a pet, a piece of scenery from a walk.
Please do not add photos of people. That includes your child, other children, family members and anyone else. Never add anything inappropriate, upsetting or harmful. Content that breaks this rule is not allowed in the app and may be removed.
The camera opens only when someone taps to take a photo, and the app shows the reminder every time: take photos of things and places, not people.
A calm kit sound can only be a file a grown-up chooses from their own device, and only one they created or otherwise have the right to use. Do not upload music or audio you do not have permission to use.
Permissions the app asks for
Camera: only when someone chooses to take a photo inside the app. The prompt appears at that moment, and refusing it leaves the rest of the app working.
Photos and files: only when you choose a picture or a sound. Your device opens its own file picker, you choose one file, and only that file is uploaded. The app cannot browse or read anything else on your device.
Microphone: never requested. Location, contacts, calendar and notifications: never requested.
You can withdraw camera or photo access at any time in your device settings. The app will keep working with typed ideas and the built-in library.
Contact with the expert
Using SenseExplorers is free. Booking contact with Dr Susan Ozer is optional, and your booking details are kept separate from your child's profile.
If you book, the booking saves your name, your email address, a phone number if you choose a telephone call, which child the contact is about, your main sensory concerns, and your question if you chose email contact.
If you tick the box to share it, the Sensory Passport summary you have chosen to share is saved with that booking. Lines your child has kept private are never included.
Only you and Dr Susan Ozer can see a booking and any reply. Booking details are not added to your child's profile and are never used for marketing.
You can ask for a booking and its details to be removed at any time by emailing info@special-brains.com.
Free downloads and updates
If you request the free Screen-Free Starter Pack, we keep your email address (and first name, if you give it) so we can send you the pack. If you also agree to updates, we will occasionally email you about new SenseExplorers resources and launches. Every email has an unsubscribe link, or you can email info@special-brains.com. We never sell or share your email.
Services we use
Payments are processed by Stripe. Your card details go straight to Stripe and never reach SenseExplorers.
The app is hosted on Base44.
Emails are sent by our email provider.
Each of these providers only handles the data needed to provide their part of the service.
Why we can hold this information
We hold your account details to provide the service you signed up for.
Any diagnosis information is optional and is only stored with your explicit consent. You can withdraw that consent at any time by removing it from the child profile.
Who can see it
Only people signed in to your family account. There are no public profiles, no sharing links and no way for another family to see your child's pages.
Photos your child takes and sounds you upload are held in private storage, not on anything public: they are shown and played through short-lived links that only work inside your signed-in account.
We do not sell data, show adverts, or use your child's information to build a profile for marketing.
For young people
This is your space. The app keeps track of what you explore so you can see what helps, and so the grown-ups supporting you can understand it too.
You can ask the grown-up who set up the account to show you everything saved about you, change it, or delete it. Deleting your profile removes everything attached to it.
Built around the ICO Children's Code
High privacy by default: we collect the minimum, and the settings that protect privacy start switched on.
No profiling, no advertising, no nudge techniques and no reward for spending time or money in the app.
The best interests of the child come first: every activity has a visible stop, nothing plays on its own, and exploring is never scored.
Plain language is used throughout, so a child can understand what is kept and why.
Your rights under UK GDPR
You can ask for a copy of everything stored about your family, ask for it to be corrected, or ask for it to be deleted. You can also object to how it is used.
The quickest way to remove everything is Settings then Delete my account and all data. That removes each child profile and all records attached to it.
If you are unhappy with how your data has been handled you can raise it with the Information Commissioner's Office at ico.org.uk.
How long we keep it
Until you delete it. There is no automatic expiry, because families often want the passport over a school year.
Deleting a child profile removes their ratings, check-ins, calm kit (including any sound files you uploaded), passport lines, progress and photos. Deleting your account removes all of it.
This app does not diagnose
SenseExplorers helps a child notice and describe their sensory world. It is not an assessment, a diagnosis or a replacement for clinical advice. If your child is very distressed or you are worried, speak to your GP, health visitor, school nurse or paediatric team.
If you have a question about your data, email info@special-brains.com, or use the delete option in Settings.
